Warning letter generator for fair, factual warnings
This free warning letter generator drafts a record of a verbal warning, a first or final written warning, or a show-cause notice for misconduct, poor performance, attendance or a policy breach. You enter the facts, the rule broken, any earlier warnings and what must change; the tool writes them into a clear letter and works out the review date, the reply and appeal deadlines and how long the warning stays on file.
Good warnings are specific, factual and proportionate, and they tell the employee how to improve and how to respond. The wording here follows that pattern in a formal or a more supportive tone, with India, US and UK conventions. Download a PDF or Word file, or a ZIP of letters from a CSV. Nothing leaves your browser. This is a template, not legal advice.
How to use the Warning Letter Generator
- Add the letterhead and signatory, then choose the stage — verbal record, first or final written warning, or show-cause notice — and what it is about.
- Enter the employee’s details, designation and department.
- List the facts one per line, name the rule or policy breached and add any earlier warnings.
- Write what must change and the support you will give, and set the review period, reply days, time on file and appeal details.
- Check the preview and the dates below the form, edit the wording if needed, and download the PDF or Word file.
Warning Letter Generator features
Four stages
Verbal warning record, first written warning, final written warning and show-cause notice, each with the right consequence wording.
Dates worked out
Review, reply and appeal dates from the letter date; time on file in months, ending on the month’s last day when needed.
Facts, not labels
Facts and improvements print as bullet lists, and the letter will not download without specific facts.
Fairness built in
A right to reply, an optional appeal, the right to be accompanied (UK) and an acknowledgement that confirms receipt, not agreement.
Formal or supportive
Two tones for the same facts; the US version adds an at-will line.
Bulk for attendance cases
One letter per CSV row, with facts separated by “|”.
The usual escalation stages
Gross misconduct — theft, violence, serious safety breaches — can justify skipping stages, but still needs an investigation and a chance to respond. Periods on file are common practice, not law; follow your own policy.
Worked example: a first written warning dated Wednesday 14 October 2026 with a six-week review is reviewed on 25 November 2026; a written response or appeal within 7 days is due by 21 October; six months on file runs to 14 April 2027. A warning dated 31 August runs to 28 February, because February has no 31st.
| Stage | Typical use | Often kept on file | Next step if no improvement |
|---|---|---|---|
| Informal talk | Minor first issue | Not recorded as a warning | Verbal warning |
| Verbal warning (recorded) | Minor issue that continues | 3–6 months | First written warning |
| First written warning | Repeated or more serious issue | 6 months | Final written warning |
| Final written warning | Further issue, or serious misconduct | 12 months | Dismissal, after a fair hearing |
| Show-cause notice (India) | Alleged misconduct needing an explanation | Until the matter closes | Inquiry, then a decision |
Legal context (as of October 2026)
- India: standing orders under the Industrial Relations Code, 2020 (in force from 21 November 2025; the Industrial Relations (Central) Rules, 2026 were notified on 8 May 2026 with model standing orders for manufacturing, mining and services) list acts of misconduct and the procedure. Courts expect natural justice: a show-cause notice with specific charges, access to the evidence, an inquiry and a reasoned decision. Section 38 of the Code expects an inquiry to finish ordinarily within 90 days of a suspension and sets subsistence allowance at 50% of wages for the first 90 days and 75% after that, unless the delay is the worker’s fault.
- United Kingdom: the Acas Code of Practice on disciplinary and grievance procedures expects you to investigate, tell the employee in writing, hold a meeting, allow them to be accompanied (Employment Relations Act 1999, s.10) and offer an appeal; a tribunal can adjust compensation by up to 25% for an unreasonable failure to follow it. The qualifying period for unfair dismissal is two years, falling to six months from 1 January 2027 under the Employment Rights Act 2025.
- United States: no federal law requires warnings and most employment is at will (Montana is the exception after probation), but consistent written warnings are the main evidence against discrimination or retaliation claims. Unionised employees can ask for a representative at an investigatory interview (Weingarten rights).
Common mistakes
- Vague charges such as “unprofessional behaviour” — give dates, what happened and its effect.
- Deciding before hearing the employee: a show-cause notice asks for an explanation; it is not a verdict.
- Warning one person for what others are allowed to do — inconsistency undermines the warning.
- No route to improve: set a clear standard, support and a review date.
Warning Letter Generator FAQ
How do I write a warning letter to an employee?
State the stage of the warning, the specific facts, the rule breached, any earlier warnings, what must change by when, the consequences if it does not, and how the employee can respond or appeal. This warning letter generator builds that structure and the dates for you.
What is a show-cause notice?
A letter used in India that sets out alleged misconduct and asks the employee to explain in writing, by a deadline, why disciplinary action should not be taken. It comes before any penalty and, for serious charges, before an inquiry.
How many warnings before dismissal?
Commonly a verbal warning, a first written warning and a final written warning, but there is no fixed number in law. Gross misconduct can lead to dismissal without earlier warnings after a fair process; for the dismissal letter itself, see the termination letter generator.
Does the employee have to sign the warning letter?
No. A signature only confirms receipt, which is why the acknowledgement here says so. If someone refuses to sign, note the date and who handed it over.
How long does a warning stay on file?
As long as your policy says — commonly six months for a first written warning and twelve for a final one. The letter states the date it will be disregarded.
Is this legal advice?
No. It is a template to support a fair, documented process. Check your standing orders, contracts and policies and take advice before a final warning or dismissal.
