Experience letter generator with the tenure worked out
This free experience letter generator produces an experience certificate, service certificate or employment verification letter for a former employee. Enter the dates of joining and the last working day and it works out the length of service — years, months and days, counting both the first and the last day — and writes it into the letter with the last designation, the department and, if you like, the designation on joining, a list of responsibilities and a conduct line.
Choose the classic “To whom it may concern” certificate or a letter addressed to the employee, a formal or warm tone, and the India, US or UK format for dates and sign-off. Download a PDF or an editable Word file, or create certificates for everyone leaving in a month from one CSV.
Everything is made in your browser; nothing is uploaded. Templates are not legal advice — state only facts your records support.

How the length of service is calculated
Service runs from the date of joining to the last working day, both included. The tool counts whole calendar months from the joining date, then the days that remain. From 1 June 2022 to 30 September 2026 is 4 years and 4 months (1,583 days). From 15 March 2024 to 9 October 2026 is 2 years, 6 months and 25 days. When a month is shorter than the joining day — 31 January plus one month — the month ends on its last day, so 31 January to 1 March 2023 counts as 1 month and 2 days. To check a span of dates separately, use the date difference calculator.
What to include in an experience letter
- The letterhead, a reference number and the date of issue.
- The employee’s full name and employee ID.
- The dates of joining and leaving, and the length of service.
- The designation at the time of leaving (and on joining, if it changed) and the department.
- Main responsibilities, if the employee asks for them — they help with the next job application.
- An honest conduct line, or none; the reason for leaving only if it is useful and agreed.
- The signature of an authorised signatory, ideally with the company seal.
India, US and UK practice
In India, an experience certificate usually accompanies the relieving letter on the last day or with the full and final settlement, and new employers ask for both during background checks. Model standing orders have long provided a service certificate for permanent workers who leave. Plan the last day with the notice period calculator and gratuity with the gratuity calculator.
In the US, many employers confirm only dates and job title in an employment verification letter. Federal law does not require one, but a few states have service-letter laws — Missouri, for example, requires a letter on written request describing the service and its duration. In the UK, there is generally no legal duty to give a reference outside some regulated sectors, but any reference given must be true, accurate and fair, which is why many firms confirm just dates and job title.
Experience Letter Generator FAQ
How do I write an experience letter?
Put it on the company letterhead, state the employee’s name, ID, dates of employment and length of service, last designation and department, add responsibilities and a conduct line if appropriate, and have an authorised person sign it. This experience letter generator does the drafting and the date maths.
What is the difference between an experience letter and a relieving letter?
A relieving letter confirms that the resignation was accepted and the employee was relieved of duties on a date; an experience letter certifies the period of service and the role. Many employers issue both on the last day.
How is total experience calculated?
Count whole months from the joining date to the day after the last working day, then the remaining days. 1 June 2022 to 30 September 2026 is 4 years and 4 months.
Should the letter mention the reason for leaving?
Only if it is accurate and helpful — “resigned” or “contract ended” is common. You can leave the reason and the conduct line out entirely.
Can I issue experience certificates for many employees?
Yes. Use the bulk section with one CSV row per person; responsibilities can be listed in one cell separated by “|”.
Is employee information uploaded?
No. The letters are created in your browser and drafts are saved only on this device.
