A staff attendance and salary register that does the maths
This staff salary register is the monthly sheet many small businesses keep in Excel: one row per employee, one column per day, and totals of days present, absences, leave, paid days and the salary for the month. Here the formulas are built in. Type your staff list with each person’s monthly salary, pick the month, weekly off and holidays, and tap days to mark them absent, half day or on leave. Paid days, loss-of-pay (LOP) days and salary update as you go.
When the month is done, print the register or save it as a PDF to sign and file, download a CSV for your accounts, or copy the LOP days straight into the payroll calculator to add PF, ESI, professional tax and TDS. Everything is stored only in this browser on this device.
How to use the Staff Attendance & Salary Register
- Enter your business name (optional), the month, the weekly off and any paid holidays such as “2, 20-21”.
- Choose how salary is divided for a day: calendar days, 30, 26 or working days, as your pay policy says.
- List your employees, one a line:
name, monthly salary. Paste from a spreadsheet if you like — tab-separated columns work too. - Pick a mark (A absent, HD half day, L paid leave, H holiday, WO weekly off, P present) and tap the days in the grid. Tap a day again to undo.
- Check the totals, then print the register, download the PDF, PNG or CSV, or copy LOP days for payroll.

How paid days and salary are worked out
Absent (A) counts as one LOP day and a half day (HD) as half. Present, paid leave, holidays and weekly offs are paid. Paid days = days in the month − LOP days and salary = monthly salary − monthly salary ÷ divisor × LOP days. If an employee is absent for the whole month, the salary is nil.
Example (October 2026, Sunday off, 2 October a holiday): the month has 31 days and 26 working days. Asha earns ₹24,000 and is absent on 5 October with a half day on 7 October: 1.5 LOP days and 29.5 paid days. By calendar days one day is ₹24,000 ÷ 31 = ₹774.19, so ₹1,161.29 is cut and she is paid ₹22,838.71. On a 26-day basis the day is ₹923.08 and the salary ₹22,615.38.
Mark a weekly off as absent only if your policy counts it — some employers apply a “sandwich” rule when leave falls on both sides of a holiday.
Is this a statutory register?
No. Under the Code on Wages, 2019 (in force from 21 November 2025), section 50 requires every employer to keep a register with details of the people employed, the muster roll and wages, in the manner and form the central or state rules prescribe. Those forms also ask for things this sheet does not record, such as overtime, deductions, fines and advances. Use this register to keep track and to prepare payroll, and check your state’s prescribed forms — or your payroll provider — for what an inspector expects.
Section 20 of the Code limits a deduction for absence to the share of the wage period the employee was absent from the days they were required to work, so choose a divisor that matches how you count days.
Tips
- Record attendance daily; a register filled in at month end is easy to dispute.
- Export a CSV each month as a backup — clearing the browser’s data removes the register.
- For a class or school, the attendance register maker prints a blank student register; payslips come from the salary slip generator.
Staff Attendance & Salary Register FAQ
What is a staff salary register format?
A table with a row per employee and columns for the days of the month, total days present and absent, paid days, monthly salary, deductions and net salary, with a signature line. This register covers attendance, LOP and the salary after it.
How do I make an attendance sheet with salary in Excel?
Mark each day, count the absences with COUNTIF, and compute salary − salary ÷ days × LOP days. This tool does the same and exports a CSV that opens in Excel.
How are half days counted?
As 0.5 day of loss of pay and 0.5 paid day.
Are Sundays and holidays paid?
In this register, yes: weekly offs and listed holidays are paid days unless you mark them absent.
Where is my data stored?
Only in this browser’s local storage on this device. Nothing is uploaded.
