A travel budget planner for any trip and currency
This travel budget planner adds up what a trip will cost before you book. List your costs — flights, accommodation, food, local transport, activities, visas and insurance, shopping — and say how each one adds up: per person per day, per day for the group, per room per night, per person once, or once for the whole trip. Change the number of travellers, days, nights or rooms and every total updates.
Amounts can be in the destination’s currency or your home currency, so you can type a hotel price in euros and a flight price in rupees side by side. The result shows the total in both currencies, the cost per person, per day and per person per day on the ground, plus a contingency for the unexpected. It works as a travel budget calculator and a reusable travel budget template: your plan is saved in this browser.
How to use the Travel Budget Planner
- Name the trip and enter travellers, rooms, days and nights.
- Type the destination and home currency codes (EUR and INR, USD and GBP…) and the exchange rate — or press Get today’s rate.
- Edit each cost row: amount, currency and how it adds up. Add categories you need and remove those you don’t.
- Set a contingency percentage (10–15% is a common cushion) and read the total, per-person and per-day figures.
- Copy the budget or download it as a CSV for a spreadsheet; the plan stays in your browser for next time.

How the trip budget is calculated
Each row is amount × multiplier, where the multiplier comes from its basis: travellers × days for per person per day, days for per day, rooms × nights for per room per night, travellers for per person once, and 1 for the whole trip. Rows in the destination currency are multiplied by your exchange rate. The contingency is a percentage of the sum.
Example (the default plan): 2 travellers, 5 days and 4 nights in Paris with 1 room. Hotel €150 × 1 × 4 = €600, food €50 × 2 × 5 = €500, transport €15 × 10 = €150, activities €30 × 10 = €300 and shopping €200 make €1,750, or ₹1,75,000 at 100 rupees per euro. Flights ₹45,000 × 2 and visa and insurance ₹9,000 × 2 add ₹1,08,000. With 10% contingency the budget is ₹3,11,300, or ₹1,55,650 per person.
Tips for a realistic travel budget
- Use the rate your bank or card will actually charge, not the mid-market rate: cards and forex counters add 1–4% or more.
- Count nights, not days, for accommodation — a 5-day trip usually has 4 nights.
- Put city taxes, tips, SIM cards and airport transfers in their own rows so they are not forgotten.
- If friends are sharing costs after the trip, the Trip Budget Splitter settles who owes whom; for business trips, compare with official allowances in the Per Diem Calculator.
Travel Budget Planner FAQ
How do I use this travel budget planner?
Enter travellers, days, nights and rooms, then fill the cost rows with your own estimates and choose how each adds up. The total, per-person and per-day figures update as you type, in your home and destination currency.
How much money do I need per day for travel?
It depends on the destination and your style, so the planner does not guess. Check accommodation, meal and transport prices for your destination, enter them per person per day, and the “per person per day on the ground” figure shows your daily need.
Is the exchange rate live?
Only when you press Get today’s rate, which asks open.er-api.com for the current mid-market rate. Otherwise the rate is what you type. Nothing else leaves your browser.
Can I use it as a travel budget template?
Yes. Categories are editable, the plan is saved in this browser, and the CSV download opens in Excel or Google Sheets as a ready-made template for your next trip.
How much contingency should I add?
Many travellers add 10–15% for price changes, exchange-rate moves and small emergencies. Set it to 0% if you prefer to list every cost.
Does it work for group trips?
Yes. Per-person rows scale with the number of travellers, per-room rows with rooms, and the per-person total shows each person’s share.
