Road freight cost calculator for trucks
This road freight cost calculator turns a transporter’s rate into a trip total. Enter the distance and load, pick how the rate is quoted (per km for the whole truck, per tonne-km, per tonne, or a flat trip price), then add a fuel surcharge, tolls, loading and unloading charges, other extras and tax. You get the total plus the cost per km, per tonne and per tonne-km, which makes quotes from different hauliers easy to compare.
It suits full-truck-load (FTL) work in India, the US and anywhere else road freight is priced by distance or weight. Rates are never guessed: every number is yours. Everything runs in your browser and nothing is sent anywhere.
How to use the Road Freight Cost Calculator
- Choose your currency, distance unit and weight unit.
- Pick the rate basis that matches the quote you were given, and type the rate.
- Enter distance and load. For per-weight rates, add the carrier’s minimum billed weight if it has one.
- Add the fuel surcharge percentage, tolls, loading, unloading and other charges, then the tax rate that applies to you.
- Read the total, the cost per unit and the line-by-line breakdown. Copy the summary if you need to send it.
Road Freight Cost Calculator features
Four ways to price a trip
Per km for the truck, per tonne-km, per tonne, or flat: the same formats hauliers and brokers actually quote.
Minimum billed weight
Charges the greater of actual load and the carrier’s minimum on weight-based rates.
Per-unit comparison
Cost per km, per tonne and per tonne-km shown beside the total, so a flat quote can be compared with a rate card.
Kilometres or miles, any weight unit
Tonnes, kilograms, short tons or pounds, with the rate labels updating to match.
How road freight is priced
Truck freight is usually quoted one of four ways. A per-km truck rate prices the vehicle regardless of load: 450 km at ₹38 per km is ₹17,100. A tonne-km rate multiplies distance by billed weight: 450 km × 10 t × ₹4.20 is ₹18,900. A per-tonne rate ignores distance (common on fixed lanes), and a flat rate is simply the agreed trip price.
Fuel surcharge is normally a percentage of the base freight, tolls and permits are passed through at cost, and loading or unloading (hamali, labour or forklift time) is charged per trip. The calculator adds them in that order and applies the tax rate you enter to the subtotal.
| Quote format | Formula | Example |
|---|---|---|
| Per km (whole truck) | rate × distance | ₹38 × 450 km = ₹17,100 |
| Per tonne-km | rate × billed tonnes × distance | ₹4.20 × 10 t × 450 km = ₹18,900 |
| Per tonne | rate × billed tonnes | ₹1,800 × 9 t = ₹16,200 |
| Flat | the agreed price | as quoted |
Reading the numbers
The cost per tonne-km is the best yardstick across quotes: a heavier load on the same truck lowers it, which is why full loads are cheaper per tonne than part loads. Compare it with your own spend, and use the truck load calculator to see how much of a body your cartons or pallets really fill.
Return empty running is a hidden cost. A haulier who cannot find a back-load prices the empty return into the one-way rate, so lanes with strong return traffic are often cheaper per km. To model a surcharge tied to the diesel price, use the fuel surcharge calculator, and for a carrier’s own cost base see truck cost per mile.
Limits
- No rates are built in: the result is only as good as the rate, distance and weight you enter. Rail freight and parcel couriers are priced differently and are not covered.
- Tax is applied to the whole subtotal at the single rate you enter. Whether tolls and loading are taxable, and which rate applies (for example under India’s goods transport agency rules), depends on your invoice; check with your accountant.
- Distance is the loaded trip length you provide. Empty running, multi-drop stops and waiting time are not modelled unless you add them to “other charges”.
Road Freight Cost Calculator FAQ
How do I calculate truck freight charges?
Multiply the rate by what it is quoted on: distance for a per-km rate, billed tonnes × distance for a tonne-km rate, or tonnes for a per-tonne rate. Then add fuel surcharge, tolls, loading and tax.
What is a typical freight rate per km in India?
It varies by lane, truck size, season and return load, so this tool has no built-in rate. Use your own quote or a current rate from your transporter.
What is minimum billed weight?
A floor on the weight you are charged for. If a carrier bills a minimum of 10 tonnes and you load 9, a per-tonne rate is charged on 10.
Is the fuel surcharge on the base freight only?
Usually, yes: a percentage of the base freight. Some contracts apply it to other charges too, so check your agreement.
Does this give a carrier quote?
No. It estimates a total from the rates you supply. The transporter’s written quote and terms are final.
Can I use miles and pounds?
Yes. Switch the distance unit to miles and the weight unit to pounds or short tons; the rate labels follow.
