Fuel Surcharge Calculator – Percentage or Per-Mile from Diesel Price

Fuel surcharge as a percentage of linehaul or per mile, from a base price and the current diesel price index.

Fuel surcharge calculator

A fuel surcharge is an extra charge that lets a carrier pass diesel price swings on to the shipper without re-quoting the base rate. This fuel surcharge calculator works out the charge three common ways: as a percentage of the linehaul that rises with each step in the fuel price, as a per-mile amount that rises per step, or as the price difference divided by the truck’s miles per gallon.

Type the base price from your contract, the current price from the index it names (in the US, usually the weekly retail on-highway diesel price from the Energy Information Administration), and the step and rate from the surcharge schedule. A table shows the surcharge at nearby fuel prices so you can see how sensitive a lane is. Nothing leaves your browser.

How to use the Fuel Surcharge Calculator

  1. Choose a method: percentage of linehaul, cents per mile per step, or price difference ÷ MPG.
  2. Enter the base fuel price and the current price in the same unit per gallon or litre.
  3. For step methods, enter the price step and the surcharge for each step, and say how to treat partial steps.
  4. Enter the linehaul charge (percentage method) or the distance (per-mile methods).
  5. Read the surcharge, the rate and the table of nearby fuel prices.

Fuel Surcharge Calculator features

Three standard methods

Percentage of linehaul, per-mile steps, and the MPG price-difference method are all supported.

Partial step control

Count whole steps only, round to the nearest step, or pro-rate, to match how your schedule is written.

Sensitivity table

See the surcharge and total at fuel prices 25 and 50 cents either side of today’s price.

Any currency and units

Gallons or litres, miles or kilometres, with labels that follow your choice.

How the surcharge is calculated

Step method. Steps = (current − base) ÷ step size, counting whole steps. The surcharge is steps × the rate per step. With base $3.50, current $4.10 and a 5-cent step, that is 12 steps; at 0.5% per step the surcharge is 6% of the linehaul, so $144 on $2,400. If the rate is in cents per mile, 12 steps × $0.01 × 500 miles is $60.

MPG method. Surcharge per mile = (current − base) ÷ miles per gallon. A $0.60 rise over a truck doing 6.5 mpg is $0.092 per mile, or $46.15 over 500 miles. It follows the actual extra fuel cost, so there is no schedule to read.

MethodFormulaSample result
Percentage of linehaulsteps × % per step × linehaul12 × 0.5% × $2,400 = $144
Cents per mile per stepsteps × rate × miles12 × $0.01 × 500 = $60
MPG method(current − base) ÷ MPG × miles$0.60 ÷ 6.5 × 500 = $46.15

Which fuel price to use

Contracts name an index and a timing rule. In the United States the most common is the weekly U.S. on-highway diesel average (or a regional figure) published by the Energy Information Administration at eia.gov, usually the Monday value, applied to shipments in the following week or the week before. Other countries use their own pump-price publications. Use exactly the figure your contract names; the sample prices here are not real quotes.

The surcharge is only part of the cost. For the all-in trip price add tolls and handling in the road freight cost calculator, and see your own break-even in truck cost per mile.

Limits

  • No base price, step or rate is built in. Those come from your tariff, and carriers’ schedules differ.
  • Some schedules use price bands with fixed percentages rather than equal steps; model them by choosing the step that matches, or read the band from your table.
  • It does not fetch live prices: you type the current price yourself, so nothing is sent from your browser.

Fuel Surcharge Calculator FAQ

How is a fuel surcharge calculated?

Subtract the base price from the current price, divide by the step size for whole steps, multiply by the rate per step, then apply it to the linehaul or the miles.

What is a fuel surcharge percentage?

The share of the linehaul charge added for fuel. It rises as the diesel price rises above the contract’s base price.

What is the MPG method?

It divides the price rise by the truck’s miles per gallon to get the extra fuel cost per mile, then multiplies by the miles.

Where do I find the current diesel price?

Use the index named in your contract. In the US that is often the weekly retail on-highway diesel price from the U.S. Energy Information Administration.

Is the surcharge taxed?

Treatment depends on your jurisdiction and invoice. Check with your accountant; this tool does not add tax.

Can I use litres and kilometres?

Yes. Switch the units and enter prices per litre and fuel economy in km per litre.
