Enter starts a new paragraph. A paragraph that starts with “• ” or “1. ” prints as a list; Heading keeps a heading with the paragraph after it. Pasted text loses its formatting. Merge fields such as {{employee_name}} fill in from the form — in bulk mode, from each CSV row.

Bulk promotion letters from a CSV — one letter per row in a ZIP

Each row becomes a letter with the letterhead, signatory, format, tone and letter text above; columns you leave out keep the form’s values, except the person’s details. Columns: employee_name, employee_id, current_designation, new_designation, department, current_grade, new_grade, reporting_manager, effective_date, current_ctc (a year), revised_ctc (a year). Optional: title (Ms, Mr, Mrs, Mx, Dr) and ref_no (otherwise numbers count up from the reference above). Dates as 2026-11-02 or 02/11/2026 (month first for the US format); put “|” between address lines.

Drop a CSV file here or click to chooseComma, semicolon or tab separated. Nothing is uploaded.

    Saved in this browser only

The PDF embeds Noto Sans, so ₹, £ and accented names print exactly and the text stays selectable. The Word file opens in Word, Google Docs and LibreOffice.

Promotion letter generator for a new role and revised pay

This free promotion letter generator writes the letter that confirms an employee’s move to a new role: current and new designation, grade or band, the new reporting manager, the date it takes effect, the key responsibilities and, if pay changes, the revised CTC with the increase worked out in rupees and per cent.

Leave out what does not apply — a promotion without a grade change or a pay revision still reads naturally, because each sentence appears only when its details are filled in. Write it in a formal or warm tone and in the India, US or UK format.

Download a PDF or Word file, or create letters for everyone promoted in a cycle from one CSV. Nothing leaves your browser. The text is a template to adapt, not legal advice.

How to use the Promotion Letter Generator

    1. Add your letterhead and signatory, then the reference number, date, format and tone.
    2. Enter the employee’s name, title and employee ID.
    3. Fill in the current and new designation, grades if you use them, department, new reporting manager and effective date.
    4. List the key responsibilities of the new role, one per line.
    5. Tick “Include a revised CTC” and enter the current and revised yearly CTC — the increase appears under the fields.
    6. Check the preview, edit any wording under Letter text, and download the PDF or Word file.

    Promotion Letter Generator features

    Sentences that fit the facts

Grade, manager and pay sentences appear only when you fill them in, so there are no empty blanks.

    Increase worked out

(revised − current) ÷ current × 100, shown in the form and in the letter.

    Responsibilities as a list

One line per responsibility becomes a neat bulleted list with a hanging indent in the PDF and Word file.

    Formal or warm

A formal confirmation or a warm congratulations, each with its own greeting and sign-off.

    Editable and reusable

Edit any sentence; your wording is kept for the next letter, with merge fields filling in each person’s details.

    Bulk promotions

One CSV row per person becomes a ZIP of letters; rows missing a new designation are flagged.

    Worked example

The sample letter promotes a Senior Analyst in grade L4 to Finance Manager in L5 from 1 November 2026, reporting to the Director – Finance. The CTC rises from ₹11,40,000 to ₹13,68,000: an increase of ₹2,28,000, and 2,28,000 ÷ 11,40,000 × 100 = 20%. A promotion from ₹9,60,000 to ₹11,04,000 would be ₹1,44,000, or 15%. To see what a new CTC means each month, use the CTC calculator and the in-hand salary calculator.

What a promotion letter should say

    • The old and new designation and the date the promotion takes effect.
    • Any change in grade or band, department or reporting line.
    • The main responsibilities of the new role, so expectations are clear from day one.
    • The revised pay — or a statement that pay is unchanged or will be reviewed separately.
    • Whether a new probation applies, and that all other terms remain the same.

Promotion letters in India, the US and the UK

In India, a promotion usually comes with a revised CTC and sometimes a fresh salary annexure; when only pay changes, an increment letter is the better document. Some employers put a promoted employee on probation in the new role — say so explicitly if you do.

In the US, promotions are often confirmed by email or an updated offer, but a letter that states the new title, pay and start date avoids disputes, especially when overtime eligibility changes with the new role. In the UK, a new job title or pay is a change to the written statement of employment particulars, which must be confirmed in writing within one month (Employment Rights Act 1996, s.4).

    Mistakes to avoid

    • Announcing a title change without saying when it takes effect, which confuses payroll and access rights.
    • Promising a pay rise “as per policy” without a figure.
    • Changing the reporting line without naming the new manager.

    Promotion Letter Generator FAQ

How do I write a promotion letter?

State the new designation and effective date, any grade and reporting changes, the key responsibilities and the revised pay, then congratulate the employee. This promotion letter generator drafts each part from the form.

Does a promotion letter need a salary increase?

No. Untick “Include a revised CTC” if pay is unchanged or will be reviewed later; the pay paragraph disappears.

How is the promotion hike percentage calculated?

Hike % = (revised CTC − current CTC) ÷ current CTC × 100. From ₹11,40,000 to ₹13,68,000 that is 20%. The percentage change calculator handles any pair of numbers.

What is a designation change letter?

A letter that records a new job title. If the change is a step up with more responsibility, it is a promotion letter; this tool covers both.

Can I make promotion letters in bulk?

Yes — download the sample CSV, add one row per employee and drop it in the bulk section to get a ZIP.

    Is employee data uploaded?

No. Letters are made in your browser and drafts stay on this device.
