Make a professional email signature in minutes
This free email signature generator builds a clean, professional signature that works in Gmail, Outlook and Apple Mail. Fill in your name, job title and contact details, add a photo or logo and your social profiles, choose one of four templates and your brand colour, and the preview updates as you type. When it looks right, press Copy signature and paste it into your email settings.
Email programs are far fussier than web browsers, so the signature is written the way email designers do it: simple HTML tables with every style written inline, standard fonts, and colours that survive light and dark modes. There are no scripts, no tracking pixels and no hidden links back to us.
Everything runs in your browser. Your details are saved on this device so you can come back and tweak them later, and you can export them as a small file to edit on another computer.
How to use the Email Signature Generator
- Choose a template — Classic, Modern, Compact or Minimal — and fill in your name, title, company and contact details. Leave out anything you don’t want shown.
- Add a photo or logo by pasting its https:// link (best) or by pressing “Upload image”, then pick Round photo, Square photo or Logo.
- Enter your social profiles. A full link works, and so does a handle such as @yourname — the right address is built for you.
- Pick an accent colour, an email-safe font and whether social links appear as colour badges or text.
- Press “Copy signature”, then follow the Gmail, Outlook or Apple Mail steps under the preview to paste it in.
Email Signature Generator features
Four tested layouts
Classic with a photo and divider, Modern with a bold name and accent rule, Compact for short two-line signatures, and text-only Minimal.
Email-client safe HTML
Table-based layout, inline styles, explicit image sizes and web-safe fonts give consistent results across webmail and desktop apps.
Rich copy and paste
Copy signature puts formatted HTML on the clipboard, so it pastes with styles and links intact. Copy HTML gives you the raw code instead.
Smart links
Phone numbers become tap-to-call links, emails open a new message, and social handles turn into full profile URLs.
Photo cropping
Uploaded photos are centre-cropped to a square and resized, so round photos never look squashed.
Saved on your device
Your signature is remembered in this browser. Export and import it as JSON, or download it as an .html file.
Why use an image link instead of uploading?
An uploaded image is embedded inside the signature as a “data URI”. That keeps everything in one place, but Gmail removes embedded images from signatures, and some Outlook versions block them or attach them as files. A hosted image — a file on your company website, your CMS or any public image host whose link starts with https:// and ends in .jpg, .png or .gif — works far more reliably.
Keep images small: about 80–100 pixels for a photo and under 200 pixels wide for a logo is plenty. Use the Crop Image and Image Resizer tools to prepare a file before uploading it to your site.
Email signature best practices
- Keep it short. Name, role, company and one or two ways to reach you are enough. Four to six lines reads best on a phone.
- Use one accent colour — ideally your brand colour — and make sure it is dark enough to read on white.
- Make links work on phones. Include the country code in phone numbers, for example +44 or +91, so tap-to-call works abroad.
- Skip images of text. Many people read email with images off; real text is always visible and searchable.
- Only add the social profiles you keep up to date. Two active profiles look better than six quiet ones.
- Check legal requirements. Companies in the UK and parts of the EU must show details such as company number and registered office in business emails — the tagline field is a good place for them.
Troubleshooting pasted signatures
If the signature pastes as plain text, your browser may have blocked rich copying. Select the signature in the preview with your mouse, copy it with Ctrl+C (⌘+C on a Mac) and paste again. In classic Outlook for Windows, paste with the normal Paste command rather than “Keep text only”.
If an image shows as a broken icon, open the image link in a private browser window: if it doesn’t load there, it isn’t public. Gmail also caches images, so changes to a hosted image can take a while to appear. For a matching set of business documents, see the invoice generator and resume builder.
Email Signature Generator FAQ
Is this email signature generator free?
Yes. The email signature generator is completely free, with no sign-up, no watermark and no “made with” link added to your signature.
How do I add the signature to Gmail?
Press Copy signature, then in Gmail open Settings → See all settings → General → Signature, create a new signature, paste it into the box, set it as the default and press Save Changes at the bottom of the page.
Why is my photo missing in Gmail?
Gmail strips embedded (uploaded) images from signatures. Upload the photo to your website or another public host, paste its https:// link into “Image URL”, then copy the signature again.
Will the signature look the same in every email app?
Very close. Tables and inline styles are supported almost everywhere. Classic Outlook for Windows ignores rounded corners, so round photos and badges appear square there, and some apps change colours in dark mode.
Can I edit the HTML myself?
Yes. Press Copy HTML to get the code, or download the .html file. Keep styles inline and layouts in tables when you edit, because many email programs ignore style sheets.
Is my information stored anywhere?
Only in your own browser, so you can return and make changes. Nothing is sent to a server. Use Export JSON to keep a copy or move it to another device.
